Privacy Policy
Last updated: 11 August 2026
This policy explains what personal information we collect, why we collect it, how long we keep it and what rights you have. We have written it in plain English rather than legal language. If anything is unclear, please ask — the contact details are at the end.
1. Who we are
Trackerman is a trading name of MKinstalls Ltd, a company registered in England and Wales.
- Company number: 13319884
- VAT number: 379358736
- Registered address: 2 Empingham Close, Bletchley, Milton Keynes, MK2 3QT
- ICO registration: ZC221153 — you can check this on the ICO register
- Email: jason@mkinstalls.co.uk
MKinstalls Ltd is the data controller for the information described here, which means we decide how and why it is used.
2. Vehicle location data — please read this section
This is the most significant information we handle, so we describe it first rather than burying it.
When we install a tracker, the device reports the vehicle's location, journey history, speed and related telemetry to the tracking platform we use. You access this through your tracking account.
Location data is personal data about whoever is driving the vehicle, not only about the person who bought the tracker. Where the driver is someone other than our customer — for example a family member — that driver has their own rights over this information, including the right to see it and to object to it being processed.
If you buy a tracker from us, it is your responsibility to tell anyone who drives the vehicle that a tracking device is fitted. That applies whether the driver is a family member, an employee or anyone else you lend the vehicle to. We cannot do this for you — we do not know who will be driving.
Fitting a tracker to a vehicle driven by another adult without telling them raises real legal and personal issues, and we would always encourage a conversation instead. If you are driving a vehicle you believe is tracked and want to know what is held about you, contact us using the details in section 11 — you can ask us regardless of who bought the tracker.
Young drivers
Our New Driver Package is usually bought by a parent for a son or daughter who has recently passed their test. A newly qualified driver is normally 17 or older and is therefore an adult in data protection terms, with the same rights over their information as anyone else — they can ask us what is held about them, and they can object to it being processed.
We do not knowingly hold information about children under 13. If you believe we hold information about a child, contact us and we will delete it.
How long journey history is kept. Our tracking platform's standard retention period is 6 months, though in practice it currently holds up to around 12 months. Treat 6 months as the period you can rely on: if you need a journey record for an insurance claim or a dispute, download it within 6 months rather than assuming it will still be there. Your account details are kept while your account is open, and are deleted when it is closed.
Dashcam footage is not sent to us. The dashcams we install record to their own memory card inside the vehicle. That footage stays with you. We do not receive it, store it or have any means of accessing it remotely.
3. If you are a business tracking employees
This section applies to fleet and business customers, not to private customers.
When you use our tracking to monitor vehicles driven by your employees, you are the data controller for your drivers' information and we act on your instructions. That means the legal duties towards your drivers are yours, and there are a few you should know about:
- Tell your drivers in writing before tracking starts — what is collected, why, how long it is kept, and how they can ask to see it.
- Company-owned vehicles can normally be tracked on the basis of legitimate interests, such as route planning, safety or theft prevention. You still have to tell people.
- Vehicles your employee owns personally are different — you need their written consent, freely given, and they must be able to refuse without consequence.
- Think about personal time. Tracking someone outside working hours needs a good reason. If that is not needed for your business, consider whether it should be switched off.
- A Data Protection Impact Assessment may be required where tracking poses a high risk to your drivers' privacy. The ICO publishes free guidance on when one is needed.
We are happy to help you set the system up in a way that supports this, but we cannot give you legal advice, and we cannot meet these duties on your behalf.
4. What we collect, and why
When you make an enquiry
Our enquiry forms collect your name, email address, telephone number, postcode, the service you are interested in and anything you write in the message box.
We use this to respond to you and to arrange an installation. Our lawful basis is legitimate interests — you have asked us to get in touch, and replying is what you would reasonably expect.
When you become a customer
We collect your name, address, telephone number, email address, vehicle registration, the agreement you sign and your signature, together with the contract details.
Our lawful basis is performance of a contract — we cannot supply, install or support the equipment without it. Some records are also kept to meet legal obligations, such as VAT and accounting requirements.
When you pay us
Payments are handled by our payment providers. We never see or store your full card number or bank details — those go directly to the provider.
When you visit this website
If you accept analytics cookies, we collect anonymous usage information — pages viewed, buttons clicked, approximate location by region and the advert or search that brought you here. This is based on your consent, which you can decline. If you decline, no analytics are loaded at all.
We do not send your name, email address, telephone number or message content to any analytics or advertising service.
5. Who we share information with
We do not sell your personal information. We share it only with the service providers we need to run the business:
| Provider | What for |
|---|---|
| Our tracking platform provider | Vehicle location, journey history and your tracking account |
| GoCardless | Direct Debit subscription payments |
| Stripe | Card and bank payments made against our invoices |
| Xero | Invoicing and accounting records |
| Resend | Sending enquiry and customer emails |
| Cloudflare | Website hosting and the secure storage behind our onboarding forms |
| Google Analytics | Website usage statistics — only with your consent |
| Meta (Facebook) | Measuring our advertising — only with your consent |
We may also disclose information where we are legally required to, for example to the police in connection with a stolen vehicle, or to HMRC.
If the business is ever sold or merged, customer information may transfer to the new owner. If that happens we will tell you beforehand, and the new owner will be bound by a policy at least as protective as this one.
6. Where your information is held
Some of these providers are based outside the UK, mainly in the United States and the European Economic Area. Where information is transferred outside the UK, it is protected by the safeguards required by UK data protection law, such as the UK International Data Transfer Agreement or an adequacy decision.
7. How long we keep it
| Information | Kept for |
|---|---|
| Journey history and location records | Standard retention 6 months; currently held for up to about 12 months by our tracking platform. Rely on 6 |
| Your tracking account details | For as long as your account is open. Deleted when the account is closed |
| Enquiries that do not become customers | 24 months, then deleted |
| Customer records, agreements and invoices | 7 years after the end of our relationship, to meet HMRC requirements |
| Website analytics | Up to 14 months, in anonymised form |
8. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- have inaccurate information corrected
- ask us to delete information, where we do not need to keep it
- object to how we are using it, or ask us to restrict its use
- ask for your information in a portable format
- withdraw consent at any time, where we relied on consent
These rights apply to anyone whose data we hold, including a driver of a tracked vehicle who is not our customer. We will respond within one month and will not charge you.
You do not need to use any particular wording or form — just ask. We will confirm we have received your request, may ask one simple question to check who you are, and will respond within one month.
We do not use automated decision-making or profiling. No decision affecting you is made by a computer without a person involved, and we do not score, rank or categorise drivers based on their driving.
9. Cookies and analytics
We show a cookie banner on your first visit. Nothing is loaded until you choose. If you accept, we use Google Analytics and the Meta pixel to understand how the site is used and whether our advertising works. If you decline, neither is loaded and no data is sent.
You can change your mind by clearing this site's data in your browser, which will bring the banner back.
10. Security
Access to your information is limited to those who need it. Our website and forms use encrypted connections, and our systems are protected by access controls and passwords. No system is perfectly secure, but we take this seriously and review it as the business grows.
11. Contact and complaints
For anything about this policy, or to exercise any of your rights, contact us at jason@mkinstalls.co.uk or write to MKinstalls Ltd, 2 Empingham Close, Bletchley, Milton Keynes, MK2 3QT.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. We would appreciate the chance to put things right first.
12. Changes to this policy
If we change how we use personal information we will update this page and change the date at the top. Where a change is significant, we will tell affected customers directly.
